MUST HAVE PREVIOUSREMOTE EXPERIENCE IN U.S or Europe
The ideal candidate for this position will excel if they can keep their calm in a high pressure, fast paced environment coordinating the logistics, agenda and calendar of the CEO of the company. The candidate should have some relevant experience to the role that highlights their capability to conduct all administrative work, making sure the CEO's operations run smoothly. Thus, the candidate should be highly detailed oriented and a creative problem solver.
Reports to: Chief Executive Officer (CEO)
Role Type: Full-Time Contract
Role Summary: As the Executive and Personal Assistant to the CEO, supporting the CEO in managing their schedule, following up on long tasks progress, keeping track of the said progress, and handling a diverse range of administrative and personal tasks. This role requires a high level of adaptability, initiative, and the ability to thrive in a super fast-paced, high demanding startup environment.
Key Responsibilities:
Executive Support:
Manage the CEO’s complex calendar, including scheduling and organizing meetings, appointments, and travel arrangements.
Draft, edit, and proofread correspondence, reports, presentations, and other documents.
Set reminders of the CEO’s non-recurring events, both through Slack and over phone calls.
Prepare 3 updates of the CEO’s agenda on different times during the day including not only calendar events but also any task that’s pending a next step from the CEO.
Handle reimbursement issues, chargebacks, item sales, amazon returns, filing claims, changing login details, keeping training videos of all processes in the Drive, canceling old platform memberships, handling donation pickups, etc.
Regular/live communications via Slack, phone or WhatsApp with CEO
Communication and Liaison:
Act as the primary point of contact for internal and external communications on behalf of the CEO.
Screen and manage emails, phone calls, and inquiries, ensuring timely responses and follow-up.
Facilitate effective communication across teams and with stakeholders.
Travel and Logistics:
Arrange and coordinate travel logistics, including itineraries, accommodations, and transportation.
Manage travel-related expenses and ensure accurate and timely reimbursement.
Administrative and Operational Support:
Oversee day-to-day administrative functions of the executive office, including onboarding of new members, setting up accounts, sending contracts for signature, adding new members to the Company’s platforms, etc.
Assist in budget tracking and financial administration related to the executive office.
Maintain organized and efficient filing systems and data management.
Personal Assistance:
Provide personal assistance to the CEO, and his family, as needed, including managing personal appointments and tasks.
Handle personal requests with professionalism and discretion.
Qualifications:
Proven experience as an Executive Assistant and Personal Assistant to senior executives, preferably in a startup or fast-paced environment.
Exceptional organizational and time-management skills, with a strong ability to prioritize, multitask and quickly communicate.
Excellent written and verbal communication skills, with a high level of professionalism.
High-level of responsiveness (less than 5 minutes)
Proficiency in office software, including Microsoft Office Suite (Word, Excel, PowerPoint), Slack, CRMs like ClickUp/Asana/Notion, Zoom, DocuSign, and other relevant tools.
Strong problem-solving skills and attention to detail.
Ability to adapt quickly to changing priorities and work effectively under pressure.
Discretion and confidentiality in handling sensitive information.
